This Privacy & Cookie Notice explains how Elevate Corporate Training Solutions FZC (“Elevate”, “we”, “us” or “our”) collects, uses, stores and protects personal information when you visit our website, contact us, use our services, participate in training or otherwise interact with us.

2. Personal information we may collect

Depending on how you interact with Elevate, we may collect:

·       name, job title, employer and professional contact details such as email address and telephone number;

·       information contained in enquiries, correspondence, meeting invitations and other communications;

·       information needed to arrange and deliver training, including participant names, roles and attendance information;

·       information contained in contracts, purchase orders, invoices and related business records;

·       information you provide when completing forms, assessments, feedback or training administration;

·       electronic signatures and signing information where documents are signed electronically;

·       technical information about website use, such as IP address, browser/device information and cookie information, where applicable.

3. How we obtain personal information

We may receive personal information directly from you, from your employer or organisation, from a client arranging training, from colleagues or other authorised representatives, or from publicly available professional sources where appropriate.

4. Why we use personal information

We use personal information only where necessary and for legitimate business purposes, including:

·       responding to enquiries and communicating with clients and prospective clients;

·       preparing proposals, contracts, statements of work and other business documents;

·       arranging and delivering training, workshops, keynote sessions and related services;

·       managing participant administration, attendance and feedback;

·       providing virtual training through platforms such as Microsoft Teams or Zoom where applicable;

·       administering electronic signatures and document execution through services such as DocuSign where applicable;

·       processing invoices and maintaining financial and accounting records;

·       protecting our business, systems and information and preventing fraud or misuse;

·       complying with legal, regulatory, accounting and tax obligations; and

·       sending relevant business or marketing communications where permitted by law and, where required, with consent.

5. Lawful bases for processing

Where applicable, we rely on one or more of the following lawful bases: performance of a contract; taking steps at your request before entering into a contract; compliance with a legal obligation; our legitimate interests, provided those interests are not overridden by your rights; and consent where consent is required or where we choose to rely on it.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

6. Client and participant information

Where a client organisation provides us with participant or employee information so that we can deliver training or related services, Elevate may process that information on the client's instructions. In those circumstances, the client organisation may determine the purposes and means of processing and may have its own privacy notice and contractual requirements. Where appropriate, Elevate will enter into additional data-processing terms with the client.

We do not intentionally request sensitive personal information unless it is necessary for a specific service and there is an appropriate lawful basis and, where required, an additional legal condition for processing.

7. Service providers and subprocessors

We use reputable third-party service providers to operate our business and deliver services. Depending on the engagement, these may include:

·       Microsoft 365 and Microsoft Teams – business email, document creation/storage and virtual training;

·       Zoom – virtual training delivery where Zoom is used;

·       DocuSign – electronic signing of contracts and other documents where required;

·       website/domain providers, where required to operate the website and related services.

We only use third-party services where appropriate for the relevant business purpose and take reasonable steps to ensure that personal information is handled appropriately.

8. International transfers

Some of our service providers may process information in countries outside the United Arab Emirates or the country in which you are located. Where applicable, we consider the relevant data-protection requirements and use appropriate safeguards for international transfers.

9. How we protect personal information

We take reasonable technical and organisational measures to protect personal information against accidental loss, unauthorised access, misuse, alteration or disclosure. Access is limited to authorised persons who need the information for legitimate business purposes. We use established business cloud services and access controls for communications, document management and virtual delivery.

No method of electronic transmission or storage can be guaranteed to be completely secure. We therefore continually review our arrangements and take reasonable steps to protect information.

10. How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, taking account of contractual, legal, accounting, tax and dispute-resolution requirements.

For the duration of the relevant programme and normally for a reasonable period afterwards, unless the client contract or law requires longer.

Financial and tax records

For the period required by applicable accounting and tax laws, which may include a minimum seven-year retention period for relevant UAE tax records.

Marketing preferences

Until you unsubscribe or otherwise withdraw consent, where consent is the applicable basis, subject to limited record-keeping requirements.

11. Your data protection rights

Depending on the law that applies to your information, you may have rights including the right to request access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing, and data portability. You may also have the right to withdraw consent where consent is the lawful basis.
